Weddings at Kleinkaap

Children under the age of 10 years will be charged 50% on the agreed adult menu price. Children under the age of 2 years will not be charged. Children will not be considered part of the total amount of guests.

Evening weddings close at 24h00; extensions may be made with prior arrangement. A fee of R1140 per hour will be charged.

Kleinkaap Bar closes at 23h00; extensions may be made with prior arrangement. A fee of R570 per hour will be charged.

Halaal and Kosher meals are available on request. A surcharge of R92 per meal will be charged. Other special dietary requirements are also available.

The use of the venue before or after the stipulated times will be charged accordingly.

Bookings will only be considered secured by upon receipt of a refundable deposit of R5000.

Included in the package

· Full wedding set-up, garden chapel or garden wedding set-up, banqueting hall, dance floor, garden for photo session and secure parking.

· Bridal cottage with dressing facilities for the bride and one guest for one night prior to OR after the function.

· White/Green umbrellas for garden weddings

· Complete table setting with linen, overlays and linen napkins, crockery, glassware and cutlery

· Silver underplates (33cm). Our main course plates are 31cm.

· Welcome drinks

· Buffet menu with plated starter or three course plated menu (plated menu R25.00 per person extra)

· Please note that no outside or private catering is permitted at Kleinkaap

· Waiters and Barmen for a minimum 8 hour shift (shift starts 1 ½ hours before the function and ends an ½ hour after the function)

· A variety of iron flower/candle stands

Vintage Cars

· We have two vintage cars, a 1929 Chevrolet Tourer and a 1933 Morris Ten which are available for photographic purposes only at no additional cost.

Excluded from the package

Some may be negotiated at an extra cost.

· Organza chair ribbons at R10-00 per ribbon.

· Should the waiters and bar attendants work longer than the minimum 8 hours, the standard overtime rate per waiter will be charged.

· These prices are subject to change.

· Additional 3^rd party operators - DJ, Photographer

· Catering for 3^rd party operators will be charged at the normal Adult rate (see price package per person). If not arranged, the amount will be deducted from the deposit.

· Kleinkaaps own sound system and DJ are available for your convenience and can be hired at an additional cost. Our DJ also has his own band should you require live music. Please book in advance.

· The usage of the projector will be R570.00 and the screen R290.00, and only Kleinkaap will operate it.

Furniture and Equipment

No paper confetti or any other foreign materials are permitted at Kleinkaap. You are welcome to use fresh flower petals, bubbles or potpourri.
Décor and props must be removed between 08h00 and 16h00 by the Monday following the function. Any item not removed within 7 days of being placed in storage will be discarded. Kleinkaap does not accept liability for loss or damage of any item during this period. No permanent alterations are allowed, that includes damage to property, plants, flowers, nails and hooks in the walls, roof or frames
No collection of décor on a Sunday. You are welcome to take it on the same day as your wedding or the following Monday.
Audio equipment may be set up outdoors. Please arrange with the DJ.
Please note that the DJ must have a music licence.
Music can be played till 24h but from half past eleven music must be exceptionally softer seeing that Kleinkaap is in a residential area.
Should clients require the folding of our napkins completed with detail (eg. ribbon, raffia) supplied by the client, a fee of R3.00 per napkin will be charged.
All supplier details must be made known to Kleinkaap no later than the final appointment (4 weeks prior to the wedding)
No fireworks will be allowed on the Kleinkaap property.
No live animals will be allowed at Kleinkaap property.
Whilst every precaution will be taken to ensure the safeguarding of your belongings, Kleinkaap will not be liable for loss or damage to any property whatsoever (décor props, wedding gifts, valuables, etc.) We recommend that all personal and valuable property be removed directly after the function.
Any damage to Kleinkaap property including linen, beyond reasonable wear and tear, will be charged accordingly and deducted from the damage fee.
Candles may not be placed directly on linen. Candleholders must be wide enough to ensure no wax on the linen and Kleinkaap has the right to remove the candles if necessary. Damages will be charged accordingly and deducted from the damage fee.
Should the Kleinkaap house, hall, surrounding gardens, décor or linen be damaged during the set-up, the course of the function or break down operations, the client shall be held responsible and will be charged accordingly.
Kleinkaap, and its employees or any person employed at any function will not be held liable for any loss or injury to persons, due to negligence or any other cause whatsoever.
Please ensure that any equipment requirements are requested well in advance of your function. Any additional items should be supplied or hired by the client at the client's cost. This will be confirmed and charged for two weeks prior to the function date.

Bar Services

· All beverage requirements should be arranged prior to the function date.

· Full Bar facilities are available on request during conference hours.

· Kleinkaap Bar may be hired after your conference for a fee of R570 per hour.

· The bar is fully licensed; therefore all beverages must be purchased from Kleinkaap. Should you wish to provide wine; a corkage fee of R60 per 750 ml bottle will be charged.

· No wines, spirits, beers, soft drinks or food may be brought onto the premises.

· We require clients to brief us with regard to their requirements for the provision of a Full Bar or Wine and Malt, Cash or Account. Specific beverages can be included or excluded from the bar and should be arranged prior to the function date.

· A limit may be stipulated for an account bar. In order to monitor the accumulative total Kleinkaap will supply a regular reconciliation of the account for the duration of the function.

· Any changes to beverage requirements at any stage are to be done so in writing.

· A beverage price list is available on request.

· On the day of the wedding the balance of the bar account must be settled as well as any damages, costs or overtime costs.

Appointments and payment requirements

4 weeks prior to the function the following is confirmed:

· Menu choice

· Procedures for the wedding day

· Number of guests

Take note: the final number of guests will not be changed after two weeks prior to the function.

If your function is booked more than 4 months in advance, you may prefer to split the payment of the bill (excluding bar bill) over the months prior to the function. The full amount must be paid within 30 working days prior to the function.

By paying a deposit you indicate your acceptance of the Terms and Conditions of Kleinkaap.

Smoking

· No smoking is permitted in hall, near the tables in the garden or in the guest room.

· Ashtrays are provided outdoors in the designated areas.

Cancellations

· In the event of any cancellation, subsequent to the deposit being paid, the deposit will be non refundable.

· In the event of non-payment of the venue hire fees within the time specified, Kleinkaap shall be entitled to cancel a provisional booking without further notice or liability to the client.

· Kleinkaap reserves the right to cancel a booking forthwith and without liability on its part in the event of any damage to, or destruction of the venue by fire, shortage of labour, strikes, industrial unrest, or any other cause beyond the control of Kleinkaap, which shall prevent it from performing its obligations. In these circumstances every effort will be made to find an alternative venue.

· Should the function be postponed or cancelled within 3(three) months of the function date, 50% will be payable of total amount and the deposit will not be refunded or transferred.

· In written notification from the client to the supplier is received by fax, email or letter

· Within 3 months of the date of arrival a cancellation fee of 50% of the amount reflected on pro-forma invoice will be raised for immediate payment by client.

· In written notification from the client to the supplier is received by fax, email or letter less than 1month to the date of arrival, the prepayment will be forfeited and the balance of the pro-forma invoice will be invoiced for immediate payment by the client.

· Kleinkaap must be informed of all changes and cancellations in writing.

· A final appointment is scheduled 4 weeks prior to the wedding to finalise arrangements.

· Unfortunately we do not schedule appointments on Sundays.
